How to Choose an AI Phone Agent for Your Business: A Buyer's Checklist

A good demo isn't enough to evaluate an AI phone agent — it's built to sound impressive. Here is what to actually check before you connect one to your real phone line.

Almost every AI phone agent demo sounds good — that's what a demo is built to do. The harder questions are about what happens once it's handling your real calls, with your real menu, your real hours, and your real edge cases. This checklist covers what actually matters once the novelty wears off.

Setup and customization

Ask exactly what it takes to configure the agent with your specific business details — hours, pricing, policies, and terminology specific to your industry. Some platforms require you to write and maintain prompts yourself; others let you enter your business information directly and handle the underlying configuration automatically. Also ask how long it takes to go from signup to a live, working agent — this varies enormously between vendors.

Escalation and edge cases

No AI agent should try to handle every call itself — the important question is what happens when it hits something outside its depth. Ask how escalation to a human works: does the caller get transferred live, does a team member get an alert, and does the human get the context of the conversation so the caller doesn't have to repeat themselves.

  • What happens when the agent doesn't know the answer or the situation is sensitive?
  • Does escalation happen live, or does someone follow up later?
  • Is the conversation context passed along, or does the caller start over?

Pricing structure

Pricing models vary — flat monthly subscription, per-minute or per-call charges, or tiered plans based on volume. A flat-rate model is easier to budget around if your call volume is unpredictable or seasonal; a per-call model can get expensive fast during a busy period, which is exactly when the agent is doing the most work for you. Ask what happens if you exceed any included volume, and whether there are setup fees on top of the subscription.

Try it as a real caller, not just a spectator

The single best way to evaluate an AI phone agent is to call it yourself and try to break it — ask something off-script, interrupt it, give conflicting information, or ask about an edge case specific to your business. A vendor confident in their product will let you do this freely before you commit to anything.
